Policies & Procedures

POLICIES AND PROCEDURES

School policies are adopted by Breakfast Club and After School Club. These include Safeguarding, Child Protection, Health & Safety and Behaviour. Policies are available on the school’s website and copies are stored in the office. 

 

SPECIFIC EXTENDED SERVICES POLICIES

 

Dropping off Policy

The school bell will ring at 7:30am to indicate that the Breakfast Club is open.  Children WILL NOT be allowed to enter the Club until the bell has rung.  It is the parent/carers responsibility to ensure that their child arrives safely at the club.

 

Uncollected Child Policy

At the end of every session, the Club will ensure that all children are collected by a parent/carer or a designated adult. If for any reason, a child is not collected at the end of the session, the procedures detailed in the uncollected child policy will be activated.

  • If a child has not been collected by 5 minutes after the end of the session, the leader of the session will call the parent, carer or designated adult to ascertain the cause of the delay, and how long it is likely to last.
  • If after repeated attempts no contact is made, and a further 15 minutes has passed, the session leader will call social care for advice.
  • After social services have been contacted and have come for the child, the Club no longer holds responsibility. The Manager will leave a voicemail message (if possible) for parents and a note on the door of the club.

 

Late Pick up Policy

Parents must contact After School Club if they are not going to pick up on time. Lateness, regardless of circumstances, will be charged at a rate of £5 per child for the first 15 minutes and a further £5 per child for any subsequent 5 minute period. Persistent lateness may result in loss of placement. The school bell will ring at 5:45pm every session to indicate that the Club has closed for the evening and late fees will apply.

 

Collection of Children/Security

We are very strict on security. Please take into account that your child can only be collected by the persons named on their registration form unless prior arrangements have been made, the person in question will be asked to provide a password (previously decided by the parent/guardian, and logged on the child’s registration form) on arrival. All children must be signed out of the After School Club by the parent/guardian collecting the child. All staff are employed by Our Lady and St Anselm’s RC Primary School in accordance with OFSTED regulations which require Disclosure and Barring Service checks to be carried out.

 

USING THE SERVICE

In order for your child to use the service, you will have to fill out a series of forms in order to ensure that the After School club staff have the information needed. These forms are:

  • Registration Form/Parental Agreement - A list of all numbers, contact information and emergency information needed. Also to include who is allowed to pick up your child/password. A signature is required to state that you understand our policies and agree with them. A list of regular sessions required.
  • Policy agreement form
  • First Aid
  • Health Care Plan – For those children who have a specific condition the Club needs to know about.

 

COMPLAINTS

If you have a complaint please feel that you can discuss this with the Manager at any time where she will try and work together to rectify it. If it is not remedied and you feel dissatisfied you can make a formal complaint to The Head Teacher.

Before children attend, parents are required to accept our terms and conditions, policies and procedures and to complete the relevant paperwork as previously mentioned.

Fees

Fees are reviewed on an annual basis, taking effect from September each year. Fees for the Breakfast Club and After School Club are based on attendance per session, with sessions being defined as:

Breakfast Club

7:30am to 8:45am - £4.50 per session

 

After School Club

3:15pm to 5:45pm - £8.00 per session

Following an After School Club Activity (e.g. 4:15pm to 5:45pm) – £4.00

 

Retaining Fee (SPARKS Club only)

If your child/(ren) are absent from school or are attending a school based extra-curricular activity, a retaining fee of half the cost will be charged.

 

Payment

Payments can be made by Scopay or vouchers from employers’ childcare voucher schemes. Please speak to the School Business Manager if you would like to set up Breakfast Club/After School Club payments by a voucher scheme.

 

Regular Bookings

Breakfast Club at this moment in time does not have a limited number of places.  We endeavour to ensure any parent who requires a service can book on to Breakfast Club without any notice.


After School Club is limited to 50 places. If given a place, this is guaranteed for the child until the club is informed by the parents/guardians that the place is no longer required. Once all 50 places have been allocated, a waiting list will be implemented

 

Occasional Places

It may be possible to reserve a place at After School Club on an occasional basis only. Please email Mrs King at vking@olsa.lancs.sch.uk. to request a place. Such sessions are charged at the normal rate with payment made at the time of booking.

 

Cancellations

Please inform After School Club as soon as possible if your child/children will not be attending the session you have booked them for.  There is no refund for cancellations at After School Club. In the case of absence due to illness, half fees will be payable for the first week of illness, after which, the Club will review the situation. A two week notice period is required to cancel your contracted days - an email must be sent to vking@olsa.lancs.sch.uk. 

During holidays an email can be sent to vking@olsa.lancs.sch.uk however, this may not be attended to until we return to school.
